Uploading a Completed or Existing Business Associate Agreement (PDF)

This article provides a step-by-step guide on how to upload a completed Business Associate Agreement (BAA) that you and your business associate have already executed into EPICompliance. This feature is designed to streamline the management of BAAs and is available exclusively to Account Administrators, License Administrators, and License Managers.

 

Benefits of Uploading Completed or Existing BAAs:

  • Centralized Storage: Maintain a central repository for all your BAAs within EPICompliance, enhancing document management and security.
  • Easy Access: Quickly and efficiently access and reference your existing agreements electronically, saving time and reducing physical paperwork.

 

Important Note: While EPICompliance facilitates the storage of BAAs, it does not guarantee the legal sufficiency of any contract agreements. It is advised to consult with a competent healthcare attorney to ensure your agreement complies with the law.

 

Logging into EPICompliance:

  • Log In: Access your EPICompliance Customer Console.
  • Open the Menu: Locate the menu icon represented by three horizontal lines, typically found in the top right corner of your screen.
  • Navigate to Business Associates: Select the "Business Associates" section from the menu options and click on either "BA Dashboard" or "All Agreements."

 

Steps to Upload Your Completed BAA:

  1. Choose the Upload Option: During the BAA management process, select "Upload Completed BAA (PDF)."
  2. Upload Your PDF: Click "Browse" or "Choose File" to locate and select the PDF document containing your signed BAA.

 

Note: Uploading a completed BAA does not generate a new agreement within EPICompliance. It simply adds the existing agreement to your BAA records for easy reference.

 

Filling Out Agreement Details:

Once you've uploaded your completed BAA, you'll need to provide some key information. Be sure to select the most accurate options from the dropdown menus for each field.

  • Your Role: Specify your organization's role in the agreement by selecting either "Contractor" or "Subcontractor."
  • License: If applicable, select the specific license associated with the business associate agreement. "All Licenses" can be chosen if no specific license applies.
  • Account Representative: Designate the authorized representative within your organization for this agreement.
  • Business Contact: Select the relevant business associate from the existing list. "Add New Business Contact" allows you to add a new vendor if they are not already listed.
  • Effective Date: Specify the date the agreement officially became active by selecting the "Select effective date of Agreement" field.

 

Save/Store Your Agreement:

  • Save the Agreement: Review the agreement, ensure all details are correct, and click 'Send/Save.' The agreement will then be saved for your centralized records.

 

This streamlined process ensures that all business associate agreements are securely archived and accessible within your EPICompliance platform, supporting effective compliance management and operational efficiency.
