How to Remove/Archive a User from Your License or Account

This guide explains how to archive a user in your EPICompliance license and account. Archiving removes the user from your active user count but preserves their data for future reference.

Steps to Archive a User

 

Navigate to User Management

  1. Locate the menu button (three horizontal lines) in the top right corner.
  2. Click the menu button to reveal an overlay menu.
  3. Within the "Administration" section, select "Users." This will take you to the User Management page.

 

Select the User

  1. On the User Management page, find the user you want to archive.
  2. Click on the user's name or profile to access their specific user information.

 

Archive the User from the License (IMPORTANT)

  1. On the User’s Profile page, locate the “Licenses” quick look below the user’s name and other primary information.
  2. Click on the three vertical dots to “Edit Assignment.” This will redirect you to the “Edit License Assignment” page.
  3. Toggle the “Assigned” button to “No” and then click the “Update” button. This action removes the user from the specific license.

 

Note: By removing the user from a license, they will no longer count towards the active users of the license. You only pay for the number of active users, not archived ones.

 

Optional: Archive the User from the Account

  1. Navigate to User Management as described above.
  2. Find and select the user you want to archive.
  3. In the upper right corner of the user's information page, locate the "More Actions" dropdown button.
  4. Click on "More Actions" and select "Archive User."  

 

Remember: Archiving users allows you to retain their data for future access if needed.

 

Important Note:

The ability to manage and archive users may vary depending on your user permissions within EPICompliance. Account Administrators typically have full access to user management functionalities. If you are unsure about your permissions or encounter any issues, please contact your EPICompliance administrator for assistance.
