Generating a Business Associate Agreement with Your Own Template

This article guides you through uploading your organization's pre-defined Business Associate Agreement (BAA) template in PDF format for agreement generation within EPICompliance.

 

These features are exclusively available to Account Administrators, License Administrators, and License Managers.

 

Requirements:

  • Your BAA template must be a PDF document.
  • Ensure your template complies with HIPAA regulations.

 

Important Note: EPICompliance does not guarantee the legal sufficiency of any contract agreements. It is advised to consult with a competent healthcare attorney to ensure your agreement complies with the law.

 

Logging into EPICompliance:

  • Log In: Access your EPICompliance Customer Console.
  • Open the Menu: Locate the menu icon represented by three horizontal lines, typically found in the top right corner of your screen.
  • Navigate to Business Associates: Select the "Business Associates" section from the menu options and click on either "BA Dashboard" or "All Agreements."

 

Steps to Upload Your Template:

  • Select Template Option: During the BAA generation process, choose Upload Your Own BAA Template (PDF).
  • Upload Your PDF: Click "Browse" or "Choose File" and select the PDF document containing your BAA template.

 

Filling Out Agreement Details:

Once you've chosen your BAA template, you'll need to provide some key information. Be sure to select the most accurate options from the dropdown menus for each field.

  • Your Role: Specify your organization's role in the agreement by selecting either "Contractor" or "Subcontractor."
  • License: If applicable, select the specific license associated with the business associate agreement. "All Licenses" can be chosen if no specific license applies.
  • Account Representative: Designate the authorized representative within your organization for this agreement.
  • Business Contact: Select the relevant business associate from the existing list. "Add New Business Contact" allows you to add a new vendor if they are not already listed.
  • Effective Date: Specify the date when the agreement will officially become active by selecting the "Select effective date of Agreement" field.

 

Sending the Agreement:

  • Review and Send: Review the agreement, ensure all details are correct, and click 'Send.' The agreement will then be sent to the business associate’s email for electronic signature.

 

Monitoring Agreement Status:

  • Track Progress: The agreement’s status will update in your console, allowing you to monitor when it is signed and subsequently store it in your records for compliance and reference.
