I have been assigned as a compliance officer, where do I access the Appointment Letter in EPICompliance?

If you have been previously assigned a Special Designation role such as any of the following; (1) ACA/OIG Billing Compliance Officer, (2) HIPAA Privacy Compliance Officer, (3) HIPAA Security Compliance Officer, and/or (4) OSHA Compliance Officer, you will be sent an Appointment Letter for the said Special Designation.  

 

The Appointment Letter is generated automatically when a User is assigned a Special Designation.  The letter will be sent to the User through the “Signature Required” section located under the “Task & Communication” column in the EPICompliance Customer Console.

 

The Appointment Letter must be signed by both the Appointer and the Appointee.  Once the letter is signed by both parties, it is then automatically sent by the system to the “Document Manager” section located under the “Utilities” column in the EPICompliance Customer Console. 

 

It will be placed in the “Human Resources” subfolder of the specific module that it is associated with.  For instance, Appointment Letters for the Special Designation as ACA/OIG Billing Compliance Officer will be found in the “Human Resources” subfolder of the ACA/OIG-Medicare folder. In the same manner, Appointment Letters for the Special Designation as HIPAA Privacy Compliance Officer will be found in the “Human Resources” subfolder of the HIPAA Privacy folder.
